Job Summary: The Administrative Assistants primary responsibilities and duties are to assist management in organizing and controlling a smooth work flow of information; assist in managing all functions of the office; maintain all administrative office functions such as correspondence, filing, phone handling, computer operation, job file management, software operation, weekly reports, collections, and job scheduling. Spotlight for the Position: Success Factor 1: Support the accounting and human resources functions of the Company. Manage the AR and AP processes to include tracking, aging, and collections. Follow up daily with insurance adjusters and residential customers. Collect payment in full on restoration jobs within a specified timeframe. Prepare and review weekly performance reports with Management. Coordinate the payroll and time/attendance process. Success Factor 2: Within 60 days implement an effective Lead Intake process to effectively respond to all service requirements and deliver on the Companys Brand Promise. All incoming calls will be answered promptly using professional techniques to assure exceptional customer service. Requests for service will be accurately recorded following the Companys Lead Intake process and immediately dispatched to the appropriate employee. Success Factor 3: Implement and maintain the Companys restoration management system, within 6 months, that focuses on timely and accurate documentation, effective communication, and work flow processes that are designed to produce customer satisfaction. Implement all required forms and documents to meet standards of performance. Document all communication with customers, clients, and insurance company representatives on a daily basis. Maintain accurate and timely production schedules for customer jobs. Education High School Diploma (or equivalent) Post Secondary Education Qualifications Legal status Valid driver's license Clean background check Clear Driver's License Check Skills Basic computer skills Excellent communication skills Great attention to detail Knowledge of major software Solves problems effectively Well organized Works well in a team Experience in Xactimate estimating software Accounts receivable collections Excellent telephone skills Restoration or construction experience Compensation This position offers a competitive salary and performance incentives.
