Job DescriptionA DAY IN THE LIFE OF AN OFFICE MANAGERThe Office Manager is responsible for providing support to management in the form of orchestration of administrative functions. They will be responsible for overseeing all office functions. They will be expected to create high levels of customer satisfaction and assist in delivering an exceptional customer experience meeting and exceeding expectations. They will be expected to conduct themselves in a business-like manner at all times. RESPONSIBILITIES

  • Direct and coordinate all aspects of the company administrative and bookkeeping functions
  • Arrange appropriate training and development as needed
  • Complete inner office documentation
  • Prepare bank deposits
  • New job lead intake, forward to RM/Lead PD
  • Customer Service, answer phones (when necessary) and respond to all customer requests
  • Customer set up in Sage
  • Job File production/management
  • Prepare customer contracts and scan signed documents to shared drive
  • Process billing and credits
  • Assist with A/R duties including collections
  • Code A/R checks received
  • Participate in weekly production meetings, update participants, contract and budgets for new jobs into Sage
  • Coordinate and book travel arrangement for staff
  • Prepare and deliver documents to collection agency for liens, collections and small claims processing
  • If applicable, supervise administrative bookkeeping positions, clearly communicating responsibilities, expectations, and job performanceQUALIFICATIONS
    • Ability to organize, plan and prioritize work
    • Computer literate; MS Word, Excel, MS Project, Outlook
    • Knowledge of industry policies and procedures
    • Knowledge of budgeting and cost control
