Job Description:

Position Description :The Receptionist provides prompt, courteous service to customers either on the phone or in person. Essential Duties and Responsibilities:

  • Ensures high quality customer service.
  • Greets and welcomes customers in a friendly manner as soon as they arrive at the store.
  • Ensures a smooth flow of customers through the store by:
    • Processing patient's paperwork.
    • Informing the customer that the Optometric Technician will be right with them to start the preliminary exam.
    • Answers, screens, and forwards incoming phone calls in accordance with NVI protocol.
      • Provides a good first impression by answering the phone promptly within 3 rings.
      • Creates a willingness to serve by using the AmBest standard company greeting in a friendly and helpful tone.
      • Asks each customer if they will be using their insurance benefit.
      • Processes and understands managed care plans.
      • Obtains and documents information from the insurance company as needed.
      • Provides customers basic and accurate information.
      • Schedules and confirms appointments, follow-up visits and classes.
      • Files all patient records daily and pulls patient files for the next day's appointments.
      • Checks on status and notifies customers when orders are in or of any delays.
      • Ensures all WIP Report functions are performed daily; cancelled job status, backorder list and problem jobs.
      • Keeps reception area tidy and presentable, with all necessary stationery and materials (e.g. pens, forms and brochures).
      • Receives, sorts and distributes daily mail/deliveries.
      • Orders front office supplies and keep inventory of stock.
      • Updates calendars and schedules meetings.
      • Follows all store and corporate policies and procedures.
      • Participates in regularly scheduled mandatory communications meetings in order to keep informed of changes in corporate policies and initiatives.
      • Other duties as required.Position Requirements :
        • Experience as a Receptionist, Front Office Representative or similar role is preferred.
        • Experience handling multiple phone lines.
        • Professional attitude and appearance.
        • Strong customer service skills.
        • Effective interpersonal skills.
        • Ability to be resourceful and proactive when issues arise.
